Data Masking

Introduction​

Data Masking is the process of hiding sensitive data by replacing it with fake characters or values, so that the data can still be used for certain purposes without revealing the original information.

The following is a guide to managing data masking within the system, including creating new data, viewing the data list, filtering, searching, editing, deleting, as well as demonstrating the use of the simulator for the data masking process.

1. Create New Data Masking​

Follow the steps below to create a new data masking in the system:

1. Open the Data Masking menu

  • Open the Security Config menu in the navigation panel.
  • Select the Data Masking tab.
  • Click the Add Function button located on the right side of the screen to start the process of creating a new masking function.

2. Fill in the Basic Information

  • Function Name: Enter the name of the data masking function.
  • Description: Add a description of the data masking to provide additional details (optional).

3. Configure the Data Masking

  • Masking Character: Select the character that will be used to mask the data. You can use one of the following characters as the masking character:

!, @, #, $, %, ^, &, *

Choose the character that best suits your data protection needs.

  • Masking Type: Select the Masking Type that will be applied to your data.

Explanation of the available masking types:

  1. Full Masking: The entire data will be masked.
  1. Partial Masking: Masks part of the data with the following options:
  • Prefix at the Front: Displays a number of characters at the beginning of the data.
  • Suffix at the Back: Displays a number of characters at the end of the data.
  1. Random Masking: Masks part of the data randomly by specifying the percentage of characters to be masked.
  1. Custom Masking: Masking that can be customized as needed. Users can specify the number of characters that remain visible on the left and right sides of the data.

Additional Options:

  • Allow Special Character: If checked, special characters such as punctuation marks or symbols will remain visible.
  • Allow White Space: If checked, spaces in the data will remain visible.

4. Manage the Masking Group

Select the group in which this data masking will be managed.

  • Use the search box to find the appropriate group.
  • Click the group name from the list.
  • Once the group is selected, the list of group members will appear in the right panel.
  • Check the members who will have access to the data masking.

5. Save the Configuration

Once all fields are completely filled in, click the Submit button.

A pop-up notification will appear stating that the masking was created successfully.

2. List Data Masking​

Once the data has been successfully created, users can view the list of Data Masking that has been saved in the system.

The following is an explanation of each column displayed on the Data Masking page:

  • Function Name: Displays the name of the data masking that was created.
  • Masking Type: Indicates the type of data masking applied, such as Full Masking, Partial Masking, Random, and Custom Masking.
  • Updated By: Displays the user who last updated the data masking.
  • Last Update: Displays the date and time of the last update.
  • Action: Contains a button with a three-dot icon, allowing users to manage the data masking, such as editing, running the data masking simulator, or deleting the data.

3. Filter Data Masking​

On the Data Masking page, there is a Filter feature marked with a funnel icon. This feature helps users filter data masking based on certain criteria, making it easier for users to display relevant information.

The following are the steps to use the Filter feature on the Data Masking page:

1. Open the Data Masking Menu

  • Open the Security Config menu in the navigation panel.
  • Select Data Masking to open the List Data Masking page.

2. Display the Filter Panel

Click the Filter button at the top right of the table to display the filter options.

3. Select the Filter Criteria

  • Select the desired filter criteria:
    • Masking Type: Filter data masking based on the type used.
    • Updated By: Filter data masking by the user who last updated them.
  • Check one or more criteria as needed.

4. View the Filter Results

After selecting the filter criteria, the system will automatically display the list of data masking according to the selected filter.

5. Clear the Filter

  • To remove a specific filter, uncheck the selected option.
  • To remove all filters at once, click the Clear all filters button at the bottom of the filter panel.
  • Once the filter is cleared, the system will automatically display all data masking without any filter restrictions.

4. Search Data Masking​

The search feature makes it easier for users to find a specific Data Masking without having to browse the entire list manually.

The following are the steps to use the search feature:

  1. Open the Security Config page from the navigation menu.
  2. Select the Data Masking tab.
  3. Find the Search field at the top right of the table, next to the Filter button.
  4. Enter a keyword in the Search field. The keyword can be the name of a Data Masking function.
  5. The system will automatically display the list of Data Masking that matches the entered keyword.
  6. To display all data again, manually clear the keyword from the Search field.

5. Edit Data Masking​

On the Data Masking page, users can update the data masking information as needed. The Edit feature allows changes to data such as the function name, description, masking character, group, and members.

The following are the steps to use the Edit feature on Data Masking:

1. Open the Data Masking Menu

Access the Security Config menu from the sidebar, then select the Data Masking tab to display the list of available data masking functions.

2. Open the Action Menu

  • In the Action column of the data masking row you want to edit, click the three-dot icon.
  • Click Manage or click the data masking function name to open the data masking detail page.

3. Masking Detail Page

At the top of the detail page there is the data masking function name along with its creation date (Created at), a Back to list button to return to the list, as well as Edit and Delete buttons at the top right.

The information displayed includes:

  • Function Details: Contains Function Name, ID (with a copy button), and Description.
  • Masking Configuration: Displays the Masking Method and Masking Character according to the applied configuration.
  • Group & Members: The group along with the members who have access to the data masking function.
  • Simulator: A button to directly simulate the data masking process.
  • Activity Log: The activity history of the data masking function. Use the Load More button to display the complete history.

4. Edit the Data

  • Click the Edit button at the top right of the page.
  • Make the necessary changes on the form that appears, such as:
    • Updating the function name.
    • Updating the description.
    • Updating the masking character.
    • Updating the group and members.

5. Save the Changes

  • After making the changes, click the Save Change button to save the updated data.
  • The system will display a notification that the data was successfully updated.

6. Delete Data Masking​

On the Data Masking page, users can delete data masking that is no longer needed.

The following are the steps to delete a Data Masking:

1. Open the Data Masking Menu

Access the Security Config menu from the sidebar, then select the Data Masking tab to display the list of available data masking functions.

2. Select the Data Masking to Be Deleted

  • Find the data masking you want to delete in the List Data Masking table.
  • In the Action column of the data masking row you want to delete, click the three-dot icon.
  • Click Manage or click the data masking function name to open the data masking detail page.

3. Click the Delete Button

  • Once the detail page opens, click the Delete button located at the top right of the page to proceed with the deletion process.

4. Confirm the Deletion

  • After clicking the Delete button, the system will display a confirmation window to delete the Data Masking.
  • At this stage, the user is asked to enter the name of the Data Masking to be deleted, matching the text displayed on the screen.
  • After entering the masking name, click Yes, Delete to confirm the deletion.
  • A pop-up notification will appear stating that the data masking was successfully deleted.

Be sure to double-check before deleting a data masking function, as this action cannot be undone.

7. Example of Masking Data​

On the Data Masking page, users can perform data masking as needed.

The following are the steps to perform data masking:

1. Open the Data Masking Menu

Access the Security Config menu from the sidebar, then select the Data Masking tab to display the list of available data masking.

2. Select the Data Masking for the Masking Process

  • Find the data masking function you want to use in the List Data Masking table.
  • In the Action column of the selected masking row, click the three-dot icon.
  • Click Manage or click the data masking function name to open the masking detail page.

3. Click the Simulator Button

  • Once the detail page opens, scroll to the bottom of the page.
  • At the very bottom, find the Simulator option.
  • Click the Simulator button to proceed to the masking process.

4. Enter the Data for Masking

  • Fill in the required field with the data to be masked.
  • Once finished, click the Generate button to start the masking process.
  • The masking result will appear in the Result field.
